What Does a Wedding Coordinator Do?
A coordinator is the person standing between you and the chaos of your wedding day. Here's exactly what my work involves — and why it changes everything.
A wedding coordinator is the person who makes sure your wedding day flows seamlessly. While a wedding planner typically helps with the full preparation and design of the event over the months leading up to it, the coordinator focuses on the smooth execution of the day itself. Think of it like the difference between an architect and a site manager: both are essential, but at different stages and with very different responsibilities.
I've been coordinating weddings in Prague for several years. In that time, I've seen even the most meticulously planned days fall apart without someone holding all the threads together. And I've seen the opposite too — how having a coordinator transforms the most logistically complex day into an experience the couple actually gets to live.
My goal is for you to enjoy every moment of your day, knowing that everything is under control. Not because nothing goes wrong. But because there's someone beside you who quietly handles whatever comes up — while you dance.
What My Work Includes
Timeline Management
I create a detailed, minute-by-minute plan for your wedding day — accounting for travel times, buffer windows, each vendor's specific requirements, and the golden hour for portraits. On the day itself, I'm the only person who knows exactly where everyone needs to be at any given moment, and I take responsibility for making sure they're there.
Communication with Vendors
Your photographer, videographer, florist, decorator, catering team, musicians, and drivers all communicate through me on the wedding day — not through you. No calls asking where to put the cake or when to bring the flowers. I intercept all of that. You hear only what you genuinely need to know.
Morning Preparations
I arrive in the morning and help the bridal and groom's preparations run smoothly. I check that everything is in place for hair, makeup, and photography, and I watch the morning timeline so neither of you feels rushed or anxious. The atmosphere in the morning sets the tone for the entire day — and I make sure it stays calm and joyful.
Ceremony Coordination
I organise the processional: positioning guests, cueing the musicians, managing the entrance of the groom, the bride, and the wedding party. If something goes off-script — a microphone disappears, the wind scatters the order of service, a guest can't find their seat — I handle it before you've had time to notice.
Reception Management
I coordinate the start of the dinner, the couple's entrance, course timing, toasts, and the entertainment programme. I keep the MC, the kitchen, and the musicians in sync. If a speech runs long while the next course is already plated in the kitchen, I already know — and I'm already adjusting.
Problem Solving
Weather changed? Wrong flowers delivered? Entertainer running late? I solve it quickly and discreetly. Years of coordinating weddings means I've seen most 'disasters' before — and I know exactly what to do without panicking. Your job is to enjoy the day. Mine is to make sure nothing gets in the way of that.
Guest Assistance
I help your family and friends feel comfortable: guiding them to their seats, letting them know what's happening next, answering questions, and giving extra attention to elderly relatives or children. Guests who feel looked after carry that warmth into the room.
Ready for a calm, seamless wedding day?
I coordinate weddings in Prague for couples from Ukraine, Israel, the US, the UK, and across Europe. Tell me about your plans — and I'll explain exactly how I can help. The first consultation is always free.
Coordinator vs. Planner: What's the Difference?
I get asked this often. Here's the simple answer:
- A wedding planner works with you over the months leading up to the wedding — helping choose the venue, vendors, concept, and budget. They're the architect of your day.
- A wedding coordinator takes your finished plan and executes it on the day. They're the person on the ground, holding everything together in real time.
Some professionals — including me — combine both roles depending on the package. But even if you've done most of the planning yourself, having a coordinator on the wedding day remains one of the best investments you can make.
When Does a Coordinator Make the Most Difference?
A coordinator is especially valuable if:
- You're organising a wedding in a foreign country or city and don't know the local landscape
- You have many vendors to coordinate across a single day
- You want to actually experience your wedding day rather than manage it
- Your closest people are guests, not helpers — and you don't want to burden anyone with logistics
- You want your parents and friends to celebrate with you, not work for you
